Simple Doc Link

Overview


The Simple Doc Link feature allows consumers to access documents without requiring them to login to the portal or provide any authentication credentials. The Simple Doc Link field is available in the Replacement Fields of the Email/Letter Template builder and can be used in both emails and letters. 


Customize Simple Doc Link Text

Prior to using the Simple Doc Link in emails and letters, a system administrator can set the default link tile that will display in the system settings. To accomplish this:

  1. Go to the Settings menu.
  2. Click CTRL-F on your keyboard to bring up your browsers search feature.
  3. Enter Secure Doc Link in the search text box.
  4. Click on the right-hand side of the text box next to the description. 
  5. Enter the verbiage you would like displayed to the consumer in the new Text Box screen. Example "View Your Statement", sample shown below. 
  6. Click Save.

Email Setup


To setup an email template with the Simple Doc Link feature, follow.

  1. Go to the Email/Letters/Text menu.
  2. Click on Email Letter Templates.
  3. Click Add to add a new template or Edit to edit an existing template.
  4. Complete the details about the email template such as the Subject, Internal Name etc.
  5. In the Attachment section, click on the Choose File button under Add Attachment.
  6. Navigate to the file to upload as the attached document related to this template.
  7. Set the Attachment Option to No Attachment (PDF is available online)
  8. In the Email Body box, create your email text.
  9. Search the Replacement Field list on the right-hand side panel.
  10. With your cursor in the place where you want to insert the link, click on the [SimpleDocLink] to add it to the email. This will create the document as a PDF and make it available for viewing online.
  11. Send out the email campaign as planned.


The field creates a link to the document associated within the email template. When clicked, it will download a PDF copy of the document. No account access or authentication credentials required to view it as shown in the example email below. 


Workflow:

  • Create an email template with the [SimpleDocLink] included and an attached document.
  • Generate an email campaign with the Simple Doc Link included
  • Recipient gets an email with a unique link
  • Recipient clicks the link and sees a PDF of the document
  • The “view” of the document is logged
